Every dealer lands on a personal workspace: open orders, remaining credit, and the products they have bought before.

Challenge

In many manufacturing companies, orders still arrive by phone. Someone at head office takes the call, checks stock verbally, and re-keys the order into the finance system.

The result is predictable: data-entry errors, dependence on office hours, and no data at all about which distributor buys what, and when.

Discovery

Before designing anything, we spend a week with sales and support listening to real calls. A large share are not orders at all. Customers simply want to know when their delivery will arrive.

That discovery changes the scope: before a shopping cart, order visibility has to be solved.

Strategy

The first release is deliberately narrow: place an order, see stock, track status. Advanced reporting and tiered pricing move to phase two.

The success measure is defined before work starts, and it is something the client can check themselves: the share of orders placed without a phone call.

Approach

Rather than building a full portal from scratch, we first build a thin layer over the existing finance system. It lowers the risk and puts something real in distributors’ hands within weeks.

Design

The user of this system is not at a desk. They are in a warehouse, or in a vehicle, holding a phone in one hand. Design starts on mobile, and touch-target size and daylight legibility drive the decisions.

The order form is kept as short as possible. Each distributor’s previous order is preloaded because most orders are repeats.

Technology

The architecture is kept plain: a server-rendered web application, a relational database, and a scheduled sync layer against the finance system.

The delicate part is stock sync. Showing wrong stock is worse than showing none, so the data’s freshness and last-updated time are always surfaced to the user.

Launch

Launch is staged. Ten distributors use the system for two weeks with direct support. Their feedback helps us remove weak assumptions before a wider release.

Growth

After launch the focus is one number: what share of orders arrive without a phone call. Each month that number is reviewed and the next obstacle is removed.

Proposed success measure

Because this is not a live client project, we do not invent results. On a real engagement, success measures are agreed before design and validated with live data after launch.
